Conveyancing matter lifecycle

Illustrative English conveyancing workflow · firm validation required
01 · ENQUIRY

Enquiry received & routed

Capture source and limited contact data; route by website to the correct firm review queue.

Human: firm and service scope triage; no automated acceptance.
02 · PRE-INSTRUCTION

Conflict, identity & risk checks

Track check status and missing information without making a decision.

Human: authorised staff conduct and decide all checks.
03 · INSTRUCTION

Engagement & onboarding

Prepare approved forms, tasks and a matter workspace after authorised instruction.

Human: approve client, scope, fees, terms and recipients; send/sign.
04 · PRE-CONTRACT

Open file & contract pack

Track title, forms, contract pack and initial review tasks.

Human: qualified review of title, documents and issues.
05 · SEARCHES

Searches & enquiries

Track ordered/received status and missing items; create internal reminders.

Human: interpret results, advise and approve enquiries.
06 · READINESS

Report & mortgage readiness

Display checklist progress and lender-document status supplied by staff.

Human: confirm lender conditions and readiness; no auto-legal conclusion.
07 · EXCHANGE

Exchange preparation

Show approved checklist and request an authorised decision.

Human: named decision-maker authorises exchange and communications.
08 · COMPLETION

Completion preparation & completion

Use the date entered by authorised staff for internal reminders only.

Human: decide date, approve funds steps and confirm completion.
09 · AFTER COMPLETION

Post-completion & registration

Track internal checklist, registration status and outstanding items.

Human: perform/approve filings, undertakings and client updates.
10 · CLOSURE

Review, retention & close

Flag incomplete tasks and prepare closure checklist.

Human: approve file closure, retention and any disposal decision.
This sequence is a planning outline, not legal advice or a complete firm procedure. The responsible firm must supply and approve its own checklists, dates, escalation rules and closure criteria.

Candidate use · unverified in actual accounts
A
Microsoft Entra ID
Candidate for staff sign-in, MFA and firm-scoped roles. Separate web and API app registrations; minimal permissions and tenant-admin consent as required.
Not configured

SharePoint Online
Potential document repository only if each responsible firm approves its tenant/sites, permissions, retention and data handling. Keep HLS matter files in HLS-authorised environment.
Not connected
P
Planner / Teams
Candidate for internal task sync and staff alerts only. Planner Graph API supports basic plans; verify plan type, tenant settings and task permissions.
Not connected
D
DocuSign
Candidate for approved-document envelope workflows. Confirm correct firm account, templates, recipients, approval and logging before any send.
Not connected
H
Hostinger · glcn.co.uk
Hostinger documents Node.js web app deployment on specified Business/Cloud plans and VPS options. Actual plan, private authentication, database, region, backup and security fit remain unverified.
Plan unverified
S
Smokeball
Keep as firm-authorised case system while API and account setup are checked. No application connection was verified; do not copy client files into the group dashboard.
Unverified
O
Outlook / email
Could support internal drafts or reminders after configuration. No automatic client or third-party sending is proposed.

Review before rollout

Implementation gates
  1. Name the first matter-owning regulated firm
HLS, Bukhari Law Firm or another authorised entity; identify its accountable decision-maker and compliance escalation role.
  2. Set GLCN developer and hosting access boundaries
Decide whether GLCN only develops or also hosts/supports; restrict and audit privileged access.
  3. Choose the source of truth and data location
Decide whether the first release is a workflow companion to the firm's existing system or a matter/document store.
  4. Confirm actual Microsoft and Hostinger configuration
Verify tenant, licences, app permissions, domain, plan, database, data location and operational controls.
  5. Approve one integration and workflow at a time
Review trigger, action, fields, destination, owner, risk, test evidence, approval gate, pause and rollback.
  6. Test separation and recovery with synthetic records
Test cross-firm denial, staff roles, audit integrity, pause, backup restore, failure paths and data deletion controls.
